Use this guide to set up HRAP correctly for an organization, employee workspace, learning program, consulting operation, or school.
Choose the right surface
| If you are... | Start in... |
|---|---|
| Owner, executive, HR manager, payroll lead, recruiter, training admin, or compliance user | HRAP Suite |
| Employee, learner, consultant, or trainer using self-service workflows | HRAP Lite |
| School administrator | HRAP Edu admin |
| Teacher | HRAP Edu teacher |
| Parent | HRAP Edu parent |
Administrator setup
- Create or accept Suite access.
- Configure the organization profile.
- Add branches, departments, positions, and reporting structure.
- Add or import employees.
- Configure leave, attendance, document, payroll, learning, and approval rules.
- Invite HR users, consultants, trainers, client users, or employees.
- Assign permission presets that match each user's work.
Employee and learner setup
Employees and learners use Lite. They sign in, complete identity and profile steps, join through the organization context provided by HR, and then use the modules enabled for them. Learning appears in Lite as assigned courses, personal courses, marketplace courses, and certificates.
Organization setup checklist
- Company profile and branch details are complete.
- Departments and positions match the current organization.
- Employees have role, department, manager, employment type, and document records.
- Leave, attendance, shift, and timesheet rules match actual policy.
- Payroll structures, allowances, deductions, loans, and payslip rules are reviewed before payroll use.
- Learning access rules are set before assigning courses.
- Client, outsourcing, or school workflows are enabled only for teams that use them.
Inviting users and assigning roles
HRAP uses role-based access. Choose the closest permission preset, then adjust process ownership through the relevant module.
| Preset | Typical user | Main access |
|---|---|---|
| Executive | Owner, employer, executive lead | Suite and Suite mobile command surfaces |
| HR Manager | HR administrator or manager | Suite HR operations without full finance ownership |
| Trainer | Trainer or course facilitator | Training and learning workspace access |
| HR Consultant | Field consultant or HR service staff | Consultant workspace and reports |
| Client User | Outsourcing client contact | Client portal workflows |
| Training Admin | Learning operations administrator | Learning, training operations, and reports |
| Employee / Learner | Employee, learner, or staff member | Lite and Lite desktop learning/profile areas |
First workflows to complete
- Add employees and confirm departments.
- Create at least one leave policy and approval route.
- Upload required employee document templates or compliance records.
- Publish or assign the first learning course if your organization uses training.
- Confirm that each user can access only the modules their role needs.
Common setup mistakes
- Inviting employees into Suite when they only need Lite.
- Testing Suite on a phone with a role that is not allowed to use the mobile executive surface.
- Assigning a course before publishing the course or setting the target company access.
- Enabling payroll views before salary structures and payslip rules are reviewed.
