Operations

Status note: Updated for KudiPod v1.1.0.
Operations connects the work around a sale: stock control, spending, tills, purchasing, fulfilment, and accountability.
Access and Configuration
Growth includes stock counts and transfers, expenses and petty cash, tills and end of day, and approvals. Business Plus includes all implemented Operations modules. Eligible Lifetime businesses retain Business Plus access. Starter does not include Operations.
Owners and managers open Operations → Configure, choose a business type, and enable eligible workflows. Staff access also depends on their role and assigned branches. Use Settings → Subscription to review your plan.
Stock Counts and Transfers
- Open Stock Counts & Transfers and select the relevant branch and products.
- Enter the physical quantities you counted and review differences against the recorded stock.
- Save or submit the count through the available review workflow.
- Confirm the final result before relying on the adjusted stock balance.
Transfers track stock moving between branches. Choose the source, destination, products, and quantities carefully. Follow the transfer status until receipt is confirmed.
A device-saved count is provisional. If stock changed while the device was offline, review the conflict and refresh or recount before resubmitting. See Offline Work & Sync.
Expenses and Petty Cash
Record the reason, category, amount, payment method, and branch. Link the expense to a till where appropriate. Submission, approval, and payment are separate steps: an approved expense is not automatically a paid expense.
Only expenses recorded as paid from cash affect the relevant till's cash reconciliation. Bank transfers and other non-cash methods are tracked separately.
Tills and End of Day
- Count the opening cash and open your till at the correct branch.
- Record the day's cash sales, cash movements, refunds, and paid cash expenses in their appropriate workflows.
- At closing, count the cash physically present and enter the declared amount.
- Review the expected cash and any difference before submitting the close.
- Review its submitted or approval status after syncing.
Card and transfer settlements are not physical cash in the till. A close saved offline is a device draft until the server accepts it.
Approvals
Owners and managers review eligible requests and their supporting details. Requests retain a decision trail. A manager cannot approve their own request; owner self-review follows the business's allowed workflow and is recorded.
Check the final request status before paying an expense, receiving a purchase, or treating another downstream step as complete.
Business Plus Workflows
| Workflow | Purpose |
|---|---|
| Suppliers & Purchasing | Keep supplier details, prepare purchase orders, and receive approved stock. |
| Trade Pricing | Set wholesale prices, buyer eligibility, and quantity price breaks. |
| Product Variants | Connect separately stocked SKUs to colour and size choices. |
| Order Fulfilment & Tracking | Track packing, dispatch, delivery, and customer-facing progress. |
| Credit, Returns & Refunds | Track customer debt, goods returns, and separate repayment records. |
| Money Operations | Review cash accounts, obligations, and recorded movements. |
| WhatsApp Inbox | Keep configured business messaging and linked orders together. |
| Sales Commission & HRAP | Calculate commission and prepare payroll input; HRAP owns payroll. |

| Station Operations | Record station-specific stock and till work. |
| Riders & Haulage | Track delivery assignments and their operating records. |

External connections require their own credentials and service configuration. Enabling a workflow does not by itself connect WhatsApp, send payroll inputs, or deliver events to another system. See Connections & Integrations.
